Doc-Trak for Infor SyteLine enables you to view and link critical documents directly from SyteLine. Direct attachments will function like a shortcut or hyperlink. This saves users time searching through filing cabinets to locate essential documents related to Infor SyteLine data and gives users real-time access to information within Infor SyteLine. Through Doc-Trak, Infor SyteLine users have the ability to correlate an external directory, file, Web service (SharePoint) or Web site address to Infor SyteLine data. This helps companies organize information for increased efficiency of locating and storing documents. Doc-Trak also allows users to automate the distribution of reports and documents to their customers and vendors by automatically e-mailing or faxing this paperwork.
Doc-Trak gives Infor SyteLine users the ability to correlate attachments, such as an external directory, file, Web service (SharePoint), or Web site address, to Infor SyteLine data. Some attachments can be flagged to print with certain Infor SyteLine paperwork reports. Direct Attachments will function like a shortcut or hyperlink; therefore, it will no longer be necessary to spend time searching or printing documentation related to Infor SyteLine data.
The Doc-Trak “Linked” form allows users to add, update, and delete two types of Direct Attachments – Record and Window. The Record type of attachment is related to a specific SyteLine record. The Window type of attachment is related to a specific SyteLine form. Attachments have print and e-mail capabilities.
Through the use of File System Virtual Rules, Record Attachments can be established in an implicit manner. Employing smart naming conventions for directories or files provides additional flexibility in defining virtual rules. Database Virtual Rules allow administrators to locate and attach documents to Infor SyteLine records from a SharePoint database.
Doc-Trak allows the scanning of documents into digital images that can be saved to a predefined path and file name using Document Saving Rules. The Document Saving Rules determine where in Infor SyteLine documents need to be scanned, then what kind of documents can be scanned against the specific form. The scanned image can also be automatically attached back to the source record in Infor SyteLine, as well as bundled with Infor SyteLine paperwork reports.
Doc-Trak Form Output allows Infor SyteLine reports to be linked to the appropriate record in Infor SyteLine where they can be viewed electronically at any time. Doc-Trak will archive a copy of the report to a predefined path/filename on the network or to a SharePoint database. Doc-Trak can automatically, e-mail or fax the report to your customers and vendors as well as print a hard copy of the report. There are more than 20 SyteLine reports that can be processed through Doc-Trak Form Output.
Doc-Trak also has the ability to bundle certain Infor SyteLine reports with Doc-Trak Window, Record, or Virtual attachments. A single PDF document is created with the reports and attachments. The bundle can then be automatically e-mailed, faxed, and printed according to the preferred distribution method defined for each customer or vendor. Doc-Trak can attach the PDF bundle back to the Infor SyteLine database for easy electronic viewing at any time.
Bundling is available when printing the Estimate Response form, Customer Order Invoice/Credit Memo, Job Packet, Order Verification, Purchase Order, PO Requisition Report, and RMA Verification.
Doc-Trak can separately e-mail any attachments a user does not want bundled with the Infor SyteLine paperwork. This allows the attachment to be e-mailed along with the Infor SyteLine paperwork report but as a separate attachment within the e-mail. The attachment remains in its original file format rather than being converted to a PDF format.
Doc-Trak allows users to drag documents from a user’s desktop, MS Outlook, or Windows Explorer onto the Doc-Trak Document Saving Rules form where the document will be saved to the location defined on the saving rule. Just like scanned images, documents dragged-and-dropped will be saved according to the predefined saving rule and can also be flagged to attach back to the source record in Infor SyteLine, as well as bundled with Infor SyteLine paperwork reports.
Doc-Trak also allows users to drag documents from the user’s desktop, MSOutlook, or Windows Explorer onto the Doc-Trak Linked Form to create new attachments.
The Doc-Trak Mass Scanning form allows users to scan a stack of documents and use barcode recognition to associate the images to a specific record in Infor SyteLine. If barcode recognition is not used, the images can be manually matched to the Infor SyteLine record through Doc-Trak Mass Scanning.
Doc-Trak Mass Scanning Rules can be defined for any Doc-Trak enabled Infor SyteLine module.
Similar to other Doc-Trak rules, Mass Scanning Rules archive the image to a predefined smart path and file name on a file system or SharePoint database. The image can be automatically attached back to the source records in Infor SyteLine as well as bundled with applicable Infor SyteLine paperwork reports.
Doc-Trak Mass Scanning can be accessed within Infor SyteLine or outside of Infor SyteLine as a ClickOnce client.
Doc-Trak Mass Scanning can be used during the Infor SyteLine Purchase Order Receiving activity and the Generate A/P Transactions activity.
Allows companies to scan documents associated with the purchase order during the Purchase Order Receiving activity. Documents such as vendor packing slips can be scanned at receiving and associated to the purchase order. The images are saved to a smart path and file name defined on the Doc-Trak Document Saving Rules form and archived to a file system or SharePoint database. The scanned images can be attached back to the source record (purchase order) in Infor SyteLine.
During purchase order receiving, lot and serial tracked purchase order items may have documents that need to be scanned during the receiving activity. Doc-Trak will display Lot and Serial Mass Scanning Rules that are defined for the Purchase Order Receiving activity and allow users to scan documents that need to be saved to the lot or serial table for the item, such as Material Certification documents.
The Doc-Trak Mass Scanning Rule for purchase order receiving can be defined to move the scanned documents forward to Generate A/P Transactions if desired. This allows the scanned image, such as the vendor packing slip, to be associated with the voucher in A/P Posted Transactions Detail.
Allows companies to scan documents during the Generate A/P Transactions activity. Documents such as a vendor invoice can be scanned prior to generating the vendor voucher. The scanned image is held in a temporary location until the voucher is generated. Once the voucher is generated, the documents scanned are linked to and viewable on the voucher in A/P Vouchers and Adjustments. Once the voucher is posted, the documents are linked to A/P Posted Transactions and attached to the voucher.
In the end, the user would be able to view all the documents related to the voucher in one area of Infor SyteLine, the A/P Posted Transaction Detail.
Doc-Trak is integrated with Labr-Trak/Shop-Trak so that Job and Item related attachments, as well as Infor SyteLine Job Notes, can be viewed from Shop-Trak Shop Floor.
The Doc-Trak drag-and-drop feature has been integrated into Shop-Trak Shop-Floor (Shop-Trak version 2013 or later is required in order to enable this feature). Using a Doc-Trak Document Saving Rule, the following Infor SyteLine Modules will allow employees to upload documents into Infor SyteLine from defined point of use areas within Shop-Trak Shop-Floor. This feature is enabled or disabled based on Shop-Trak parameters. Employees can easily scan and attach information from their workstation or qualified Windows mobile units directly into these key areas in Infor SyteLine:
